    The five-stage model of automation

    Stage 0: a manual solution with good tools

    Before buying software, get more out of what you already have.

    • An FAQ page on your website: the most common 15 to 20 questions with clear answers. This alone often halves your email load.
    • A voicemail greeting with real content: “You've reached Pension Berger. Breakfast is from 7 to 10am, check-in from 2pm. For reservations, please email us at info@…”.

    • WhatsApp Business with an auto-reply: “Thanks for your message. We'll get back to you by 6pm”.

    When this is enough: with fewer than 10 enquiries a day and one person answering centrally, stage 0 often carries you for months. The next step only pays off once standard enquiries start dominating your day.

    Stage 1: structured triage

    You bring customer enquiries into a structured channel instead of letting them scatter chaotically across email, phone and social media.

    • A good contact form with 4 to 6 required fields (name, email, enquiry category, preferred appointment time).
